(16th – 19th FEBRUARY 2018)

1. Inaugural Ceremony

The Inaugural ceremony will take place at Gyan Bhawan (Samrat Ashoka Convention Kendra), Patna on Saturday, 17th February 2018. Delegates, Observers and spouses are requested to take their seats by 09:30 A.M for the Inaugural ceremony. The Plenary Session on 17th and 18th February, 2018 will be held at Bihar Legislative Assembly Hall, Patna. Video cameras, cellular phones and other electronic gadgets are not permissible in the Assembly Hall.

2. Group Photograph

A group photograph of all Delegates/Secretaries would be taken on Saturday, 17th February, 2018 at 10:15 A.M. Gyan Bhawan, Patna. All the Delegates/Secretaries are requested to take their place by 10 minutes before group photography.

3. Floor Language

Floor language for the conference shall be Hindi and English.

4. Arrival

All branches are requested to communicate the itineraries of their Delegates to the Commonwealth Parliamentary Association, Bihar Branch at the earliest so that arrangements for reception Airport/Railway Stations on their arrival are made accordingly.

5. Hotel Accommodation

All the Delegates will be accommodated in Hotel Maurya, Hotel Lemon Tree and Hotel Panache, Patna. The Delegates, Secretaries etc. will be guests of the CPA Bihar Branch from 16th to 19th February, 2018. Early arrivals or late departures beyond these dates will be the responsibility of the respective Delegates.

All other expenses such as local / long distance telephone calls, faxes, e-mail, laundry / dry cleaning, all unofficial surface / rail transport charges in the State and India, personal entertainment etc. are the responsibility of the Delegates.

Note:- Alcoholic drinks prohibited.

6. Partners/Observers

Delegates accompanied by their Partners / Observers should inform the Host Branch well in advance.

 A fee of Indian Rupees 55,000/- has been fixed for the accompanying persons and observers, to cover the cost of accommodation, meals, tour, etc. The amount has to be paid at the time of registration at the Hotel. Please hand over a draft of Rs. 55,000/- and collect receipt of the payment.

7. Registration and Identification

Delegates are requested to register themselves at the information Desk in Hotel Maurya, Hotel Lemon Tree, Hotel Panache, Patna on their arrival. On registration, the Delegates will be given literature for the Conference including Conference Handbook, Diary of Events, List of Delegates, Identification Badges, etc. Delegates are requested to wear the badges during the Conference and post-Conference Tour for easy identification.

8. Transportation

Transport facility will be available for the delegates / secretaries / spouse / observer / accompanying person from the time of their arrival till the time of their departure for the specified conference programmes.

9. Post- Conference Tour

Post-conference Tour would be organised on Monday, 19th February, 2018. All the Delegates, their spouses, Secretaries and Observers will have the option of visiting either of the two places. It will be a one day tour i.e. same day return.

(1) Gaya and Bodh Gaya Tour OR

(2) Rajgir and Nalanda Tour

 Delegates / Secretaries / Observers / Accompanying persons are requested to furnish form indicating preferred group of tour programme of their choice in advance, so that necessary arrangement are made in advance. Delegates joining the Post-Conference Tour to Gaya, if desirous of scheduling their return itinerary from Gaya itself, may intimate Bihar CPA Branch of their itinerary so that suitable arrangements regarding Hotel accommodation may be made in Gaya. Hotel accommodation in Patna and Gaya will be available upto forenoon of Tuesday, 20 February, 2018.

10. Climate and Clothing

The weather of Patna is normally 150C to 300C during February, 2018.

11. Medical Facilities

Arrangements have been made to provide medical assistance in case of emergencies both at places of stay on a round the-clock basis and at the Conference venue till the Conference is in session. The provision of medical facilities covers only first aid and symptomatic treatment. The diagnosis of any serious ailment and its treatment will be the responsibility of delegates concerned.

12. Banking Facilities

A Branch of State Bank of lndia is available at the venue of the Conference.

13. Insurance

Delegates will be themselves responsible for insurance against accident, medical, loss of luggage and currency and against any damage or injury or loss of life resulting from war, hostility or terrorist activities.

14. Photography

The Conference will have photographic coverage. The proof of the photos taken will be displayed at the venue of the Conference. Delegates interested in having copies of the same may please see them and place orders with the photographers who will be available near the place of display of the photographs. The copies will be supplied on payment.
